Practical info

We trust that the following information (in alphabetical order) will assist you in organizing your registration and stay in Washington DC.

Abstract submission
Abstract submission is possible until 13 March 2015.

Accommodation is possible in the meeting venue, the Westin Alexandria Hotel (for the address, please see further under "Meeting venue" header on this page), but is not included in the registration fee. Please be advised that guest room reservations are upon room block availability.

All participants are requested to wear the badge at all times during the conference to ensure admission to the meeting.

Certificate of Attendance
A certificate of attendance can be requested and picked up at the registration desk on 28 May.

May is a very pleasant month to visit the city. Washington DC spring days are typically warm and sunny. The temperature mostly varies between 56.7 °F (13,7 °C) and 66.5 °F (24,6 °C).

Conference Materials
Conference materials can be obtained upon registration at the registration desk at the conference venue.

Conference Language
The official conference language will be English.

Electrical Power
The USA uses 110 V/60 cycle electric power with two flat-blade plugs. More modern receptacles have an additional round grounding pin and remain compatible with the two flat-blade plugs.  Visitors using foreign appliances with incompatible plugs or electrical needs must bring an adaptor and/or a voltage converter.

Internet Access 
Complimentary internet access is available in the guestrooms and meeting rooms.

Invitation Letters
An official letter of invitation, designed to help overcome administrative difficulties in certain countries can be downladed: Invitation letter for visa 16HIVHEPPK. This letter does not represent a commitment on the part of the organization to provide any financial assistance. The organizing secretariat is unable to provide more extensive invitation letters.

Italian Agency for AIFA Procedure 
Any Italian pharmaceutical company supporting or participating in a congress abroad, is subjected to an authorisation by AIFA (Italian Drug Agency), according to an Italian Government Decree (Decreto Legislativo 219/06 art. 124).

Liability and Insurance 
By registering for the conference participants agree that the organizers do not accept responsibility for medical-, travel- or personal insurance. Participants are advised to take out their own insurance policies.

Payment and Procedure of Online Registration
Your registration will be processed after receipt of payment. Payment can be processed either online or by fax authorization. The registration fee, valid on the day of receipt of registration, will be applied, provided that payment is processed immediately. If your payment has not been received within 2 weeks after the on-line registration your registration will be cancelled without further notice.

Photographs, Audio and Video Recording
Photographs as well as audio and video recordings are not permitted at the official meeting sessions. Only the official medical writer, appointed by the organization, may make recordings. All presentations that we were granted permission for, will be posted on the workshop website (under Workshop Materials) as soon as possible after the workshop is finished, provided the speaker has given permission to do so.

Registration Fee, Criteria and Cancellation Conditions
Registration for the conference will be possible until 12 May 2015. Individuals wishing to register after 12 May will only be able to do so on site (26 - 28 May 2015) on site. For further information, fees and online registration please go to the registration page of this workshop.
