Registration

Registration for the conference is now possible until 14 May 2010. Individuals hoping to register after the 14 May deadline will only be able to do so on-site (25, 26, 27 and 28 May 2010. However, please note that there is no day rate available).

General Registration Information

Registration is limited to researchers, clinicians and others actively participating as investigators in the field of HIV research, with preference accorded to doctoral and professional degree level researchers and clinicians. Registration fees may be paid by credit card, or in special cases by bank transfer, either through an online-secured internet connection or through authorization by fax.

Attention: total payment must be received within 2 weeks of receipt of the registration form. After 14 May 2010 payment can only be made by credit card. Registrations are valid only after receipt of payment, at which time the conference secretariat will send a confirmation of your registration/payment. Registrations will be cancelled without further notice if payment or credit card data has not been received within 2 weeks of submission of registration data. If, despite cancellation, you still wish to attend the meeting a new registration is required at the conditions and rates of that moment.

- We would like to strongly suggest that you register early to ensure your registration and hotel accommodation, as registration will close when the capacity of the venue is reached.

Fees and Conditions
Registration fee excluding accommodation (accommodation fees are listed on another table below). The registration fee that is current at the moment this registration form (including credit card details) is received will apply. In case of payment by bank transfer: total payment must be received within 2 weeks of receipt of registration form and within the deadline of the registration period

 Accommodation 

We strongly advise you to book as early as possible to ensure accommodation. It is possible to book additional nights prior to and after the conference, based on availability (limited capacity).

Transportation hotel – conference center – hotel: 

Transportation from hotel to conference center will be taken care of by Virology Education provided that at least 10 conference participants are staying at the relevant hotel. To ensure your transportation, please email the hotel you choose to stay at to anna-marie.loeff@vironet.com. Transportation time table will be available in the hotel.

 

Payment
Payment by credit card is strongly encouraged. In special cases, bank transfer may be allowed. PLEASE NOTE: Submission of your registration does not guarantee that your registration has been accepted. Your registration is final when full prepayment has been received and a confirmation of your registration has been sent by the conference secretariat.

Cancellation policy
In case of cancellation the following refunds are applicable:
Cancellation before 16 April, 2010: 50% refund (minus an administration fee of 
€ 35)
Cancellation on/after 16 April, 2010: no refund

Should you be unable to attend the conference, a substitute delegate is always welcome at no extra charge provided that a letter of authorization from the original participant has been received and the Conference Secretariat has been notified of the name of the substitute delegate before 14 May 2010. A statement (email/letter/fax) of your cancellation must be sent to Virology Education.

Group Registration
Groups are requested to use the group registration form instead of the online registration method. To download, please click on the link below entitled Group Registration Form.

Media registration
In order to register as a media participant for the Workshop, the conference secretariat needs to receive proof of accreditation. A reduced registration fee may apply for accredited media participants. Please contact the conference secretariat for registration conditions. An abstract book will be provided on site. Deadline for application is 14 May 2010.
 
NB: Media is restricted to the written press. Recording on film or photo is not allowed. We would like to receive a copy of your workshop report once it is finalized.   
   

Accreditation may take the form of a photocopy of official press credentials or a letter verifying assignment to the Workshop on the stationary of the media organization concerned. Freelance journalists should submit copies of three (3) by-lined articles on HIV/AIDS in Resource-Poor Settings in addition to an official letter of assignment. Newsletter writers and editors must submit three (3) issues of their newsletter containing at least one by-lined article on HIV/AIDS in Resource-Poor Settings by the applicant. All credentials will be verified by the Organizing Committee of the Workshop.

PhD Students & delegates from resource poor countries
A limited number of free registrations are available for PhD Students and abstract submitters from resource poor countries. To become eligible for a free registration a plausible abstract must be submitted. 
Please follow the regular abstract submission procedure and send an e-mail to
info@virology-education.com indicating you are a PhD student or delegate from a resource poor country wishing to apply for a free registration for the 4th  Annual INTEREST Workshop -International Workshop on HIV Treatment, Pathogenesis and Prevention Research in Resource-Limited Settings, together with your abstract title.

Sponsored attendance
If you are invited by a pharmaceutical or diagnostic company or if your registration is organized by a travel agency please do not register online or by fax. The sponsoring company will be asked to register you via the Conference Secretariat.
