Fees and Conditions

Welcome drinks will be offered on 8 December after the scientific program.
Dinner is organized on 8 December. Nominal rate is 35 USD. Pre registration is necessary.

This registration fee includes:
o        Entrance into all scientific sessions
o        Delegate bag, including abstract book and final programme
o        Refreshment breaks and lunch on 8 and 9 December 

Important
o      We strongly suggest that you register early to ensure your
        confirmation, as registration will close when the capacity of the venue is
        reached. Priority will be given to persons submitting an abstract.
o      Please remember that registrations will only be processed if on-line
        payment has been applied OR if we have received your credit card 
        details by fax. Registrations are valid and will be confirmed only after full
        payment of the registration fee has been received.
o      Registration will be limited to researchers clinicians and others actively
        participating as investigators in the field of HIV, with preference
        accorded to doctoral and professional degree level researchers and
        clinicians.
o      No day rate is available.

Your registration is only definite after receipt of payment. Your registration will be cancelled without further notice if payment or credit card data have not been received within 2 weeks after submission of registration data. If after all you wish to attend the meeting a new registration is required at the conditions and rates of the moment.
PLEASE NOTE: Submission of your registration form online or by fax is no guarantee that your registration has been accepted.
 
Cancellation
In case of cancellation the following refunds are applicable:
Cancellation before 15 October, 2008: 50% refund
Cancellation after 15 October, 2008: no refund
Cancellation fee 35 EURO

Should you be unable to attend the conference, a substitute delegate is always welcome at no extra charge provided that a letter of authorisation from the original participant has been received and the Conference Secretariat has been notified of the name of the substitute delegate before 15 July 2008.
A confirmation (email/letter/fax) of your cancellation needs to be sent to Virology Education. Only cancellations in writing will be taken into consideration.

Media registration
In order to register as a media participant for the Workshop, the conference secretariat needs to receive proof of accreditation. There is no registration fee for accredited media participants. Media participants are entitled to admission to all sessions of the Workshop as well as the social event  (provided a reservation has been made). An abstract book will be provided on site. Deadline for application is 15 June 2008.

Accreditation may take the form of a photocopy of official press credentials or a letter verifying assignment to the Workshop on the stationery of the media organization concerned. Freelance journalists should submit copies of three (3) by-lined articles on HIV/AIDS in addition to an official letter of assignment. Newsletter writers and editors must submit three (3) issues of their newsletter containing at least one by-lined article on HIV/AIDS by the applicant. All credentials will be verified by the Organizing Committee of the Workshop.

Sponsored attendance
If you are invited by a pharmaceutical or diagnostic company or if your registration is organized by a travel agency please do not register on line or by fax. The sponsoring company will be asked to register you via the
Conference Secretariat.
