Registration

The accommodation package consists of three nights; 20, 21 and 22 May and includes taxes and breakfast. It is not possible to book separate nights for these dates. However, it is possible to book extra nights for the reduced conference rates, based on availability.
Please remember that registrations and hotel reservations are valid and will be confirmed only after full payment of the registration fee has been received.

Scholarships
Depending on sponsorship, a limited number of full or partial scholarships will be available for participants from resource-poor settings, students, activists and people in training.
In order to apply for a scholarship, please use the special Scholarship Request Form (see below). Priority will be given to applicants who have submitted an (accepted) abstract. Abstracts must be sent before 17 March. Applicants will be informed before 1 April whether their abstract is accepted and whether they are granted a scholarship. Please note that sending an abstract alone is not considered as an application for a scholarship, an official request as described above must be submitted.

Registration will be limited to researchers, clinicians and others actively participating as investigators in the field of HIV and Hepatitis Co-infection, with preference accorded to doctoral and professional degree level researchers and clinicians.

Your registration will be cancelled without further notice if payment or credit card data have not been received within 2 weeks after submission of registration data. If after all you wish to attend the meeting a new registration is required at the conditions and rates of that moment.

The registration fee can be paid by bank transfer, or by way of credit card, either through an online-secured internet connection or through authorization by fax. After 30 April payment can only be effected by credit card.
After registration you will receive a confirmation of receipt. Registrations are valid only after receipt of payment.  Please note: Submission of your registration form is no guarantee that your registration has been accepted.

Group registrations
In order to register groups, please contact the Conference Secretariat by email: info@virology-education.com or phone: +31 30 230 7140 and we will help you through the process. Groups can not be registered on line.

Group registrations (4 or more persons) can be paid either by credit card or by bank transfer
Payment by bank transfer should be made free of charge. 
Payment as from 1 May 2008 is only possible with VISA, Master card or AMEX card

Cancellation
Should you be unable to attend the conference, a substitute delegate is always welcome at no extra charge provided that a letter of authorization from the original participant has been received and the Conference Secretariat has been notified of the name of the substitute delegate before May 1st. 
A confirmation (email/letter/fax) of your cancellation needs to be sent to Virology Education. Only cancellations in writing will be taken into consideration.

The following refunds are applicable:
Cancellation before/on April 1st, 2008:
50% refund of registration fee
Cancellation after April 1st, 2008: no refund 

Media registration
In order to register as a media participant for the Workshop, the conference secretariat needs to receive proof of accreditation. There is no registration fee for accredited media participants. Media participants are entitled to admission to all sessions of the Workshop as well as the Welcome reception and dinner (provided a reservation has been made). An abstract book will be provided on site. Deadline for application is May 1st.
Accreditation may take the form of a photocopy of official press credentials or a letter verifying assignment to the Workshop on the stationery of the media organization concerned. Freelance journalists should submit copies of three (3) by-lined articles on HIV/AIDS/Co-infection in addition to an official letter of assignment. Newsletter writers and editors must submit three (3) issues of their newsletter containing at least one by-lined article on HIV/AIDS/Co-infection by the applicant. All credentials will be verified by the Organizing Committee of the Workshop.

Media participants cannot register on line, but are requested to send the above mentioned information to info@virology-education.com.

Sponsored attendance
If you are invited by a pharmaceutical or diagnostic company or if your registration is organized by a travel agency please do not register on line or by fax. The sponsoring company will be asked to register you via the Conference Secretariat.
