Fees and Conditions 

To encourage broad participation in the conference, organizers are offering a two sided fee structure, with lower registration fees for delegates from middle/low-income countries (World Bank Classification) and regular registration fees for delegates from high income countries.

Registration fees do not include accommodation

PhD students / Academia from middle/low- income countries who are submitting an abstract please register through the Scholarship application. Notification of abstract acceptance and scholarship assignation will follow in the week after 15 May. After 15 May no scholarship applications will be accepted.

This registration fee includes:
 -  Entrance into all scientific sessions, including poster area
 -  Delegate bag, including abstract book and final program
 -  Refreshment breaks
 -  Lunch during the conference program
 -  Dinner on Friday, July 17 provided pre-registration and payment of the
    nominal contribution of € 35,- has been received

Accommodation
Registration fees do not include accommodation. The conference will be held prior to the IAS at the Westin Grand Cape Town Arabella Quays. We suggest that you extend your hotel reservation via the IAS website. http://www.ias2009.org/mainpage.aspx?pageId=320

Important
-  We would like to strongly suggest that you register early to ensure  
   your registration and hotel booking, as registration will close when the  
   capacity of
the venue is reached.
-  Please remember that registration will be limited to researchers,
   clinicians and others actively participating as investigators in the field, with
   preference accorded to researchers and clinicians with a doctorate or
   other professional degree.
-  No day rate is available.

By credit card only: directly on line or by written authorization (see on line information).

PLEASE NOTE: Submission of your registration does not guarantee that your registration has been accepted. Your accepted registration will be confirmed only after full payment of the fee has been received

Cancellation policy
In case of cancellation the following refunds are applicable:
Cancellation before 3 June 2009: 50% refund
Cancellation on/after 3 June 2009: no refund

Should you be unable to attend the conference, a substitute delegate is always welcome at no extra charge provided that a letter of authorization from the original participant has been received and the Conference Secretariat has been notified of the name of the substitute delegate before 2 July 2009.
A statement (email/letter/fax) of your cancellation needs to be sent to Virology Education.

Group Registration
Groups (4 persons and more) are requested to use the group registration form instead of the online registration method. Please download the Group Registration form (see right) and return the form by fax to Virology Education.

Media registration
In order to register as a media participant for the Workshop, the conference secretariat needs to receive proof of accreditation. A reduced registration fee may apply.
Please contact the conference secretariat for registration conditions. An abstract book will be provided on-site. Deadline for application is 2 July 2009
 
NB: Media is restricted to the written press. Recording on film or photo is not allowed. We would like to receive a copy of your workshop report once it is finalized.   
   
Accreditation may take the form of a photocopy of official press credentials or a letter verifying assignment to the Workshop on the stationery of the media organization concerned. Freelance journalists should submit copies of three (3) by-lined articles on HIV Transmission in addition to an official letter of assignment. Newsletter writers and editors must submit three (3) issues of their newsletter containing at least one by-lined article HIV Transmission by the applicant. All credentials will be verified by the Organizing Committee of the Workshop.
 
Media participants may not register online, but are requested to send the above-mentioned information to info@virology-education.com.

Sponsored attendance
If you are invited by a pharmaceutical or diagnostic company or if your registration is organized by a travel agency please do not register online or by fax. The sponsoring company will be asked to register you via the Conference Secretariat.

Scholarship
A limited number of scholarships to attend the 4th International Workshop on HIV Transmission- Principles of Intervention will be awarded to (young) researchers and clinicians working in the field from low income countries (see list) and Phd students who, without financial support, would be unable to participate in the conference. Scholarships may be full (including registration, travel, accommodation), partial (including registration and/or accommodation or travel) or for registration only. Per diem fees are not provided.

Applicants must be actively working in the field. Priority will be given to applicants whose attendance of the meeting will have a positive impact in their country of origin. Applicants must have a good understanding of the English language. Priority will be given to abstract submitters.

 

Excluded from scholarships are industry employed persons, social workers and others who are not scientifically involved.

Deadline for application is 15 May. Notification of acceptance will be sent in the week after 15 May.

Please note: Applicants for scholarships should not register for the conference through the registration button, but should only submit their abstract (on line) and fax the above requested material.

Incomplete applications will not be taken into consideration.
