Given the great interest for this workshop and the limited number of slots available, we have revised our registration policy.

Those wishing to attend the workshop need to submit an application prior to the application deadline. Priority will be given to researchers and clinicians actively participating in the field of HIV and Aging whose abstracts have been accepted for either an oral or poster presentation (presenting author and one co-author). To submit your application, please use the "Submit application" button on the right-side menu.
All applicants will be notified about the acceptance or denial of their applications by mid August 2010, after abstract evaluation has taken place. Upon notification of acceptance, your registration, including the payment, must be completed by September 15, 2010. Failure to register on or before the deadline may result in the loss of your acceptance in the Workshop.
A limited number of registration slots have been reserved for community advocates and government employees involved in the HIV and aging field. To apply for these slots, please select the appropriate box in the online application form. Upon notification of acceptance, you will have to complete the online registration procedure (see above).
A limited number of scholarships and/or free slots will be available for graduate students and researchers from resource-poor countries, who, without financial support, would be unable to participate in the conference. To apply for these slots, you are requested to contact us at info@virology-education.com until 31 August 2010. You will be asked to provide a letter of recommendation by your supervisor.

Accommodation at the InterContinental Harbor Court Baltimore hotel (workshop venue) can be booked online via the conference registration website. Rooms are available for the nights of 3 and 4 October.

Cancellation policy
In case of cancellation of your registration the following refunds are applicable:
Cancellation before 15 September, 2010: 50% refund (minus an administration fee of $40)
Cancellation on/after 15 September, 2010: no refund
Cancellation of accommodation (booked via our website):
Cancellation before 5 September 2010: 100% refund (minus an administration fee of $40)
Cancellation after 5 September: depending on the cancellation policy of the hotel.
Should you be unable to attend the conference, a substitute delegate is always welcome at no extra charge provided that a letter of authorization from the original participant has been received and the Conference Secretariat has been notified of the name of the substitute delegate before 25 September 2010.
A statement (email/letter/fax) of your cancellation must be sent to Virology Education.
Media registrations
A limited number of slots will be reserved for media participants. In order to register as a media participant for the Workshop, the conference secretariat needs to receive proof of accreditation. A reduced registration fee may apply for accredited media participants. Please contact the conference secretariat for registration conditions. A final program/abstract book will be provided on-site. Deadline for application is 31 August 2010 CET.
NB: Media registration can only represent the written press. Recording on film or photo is not allowed. We would like to receive a copy of your workshop report once it is finalized. An authorisation to use the workshop report for our own purposes will be appreciated.
Accreditation may take the form of a photocopy of official press credentials or a letter verifying assignment to the Workshop on the stationery of the media organization concerned. Freelance journalists should submit copies of three (3) by-lined articles on HIV & Aging in addition to an official letter of assignment. Newsletter writers and editors must submit three (3) issues of their newsletter containing at least one by-lined article on HIV & Aging by the applicant. All credentials will be verified by the Organizing Committee of the Workshop.
