Accommodation
For those who will attend the HIV Dart we suggest to extend the hotel reservation via the HIV Dart website. If necessary we can request hotel room availability at our meeting venue, Hotel Rio Mar Beach Resort & Spa
Badges
All participants are kindly requested to wear the badge at all times during the conference.

Conference Language
The official conference language is English. There will be no simultaneous translation.

Electrical power
Electricity in Puerto Rico is 120 Volts, alternating at 60 cycles per second. If you travel to Puerto Rico with a device that does not accept 120 Volts at 60 Hertz, you will need a voltage converter.

Invitation letters
Official letters of invitation, designed to help overcome administrative difficulties in certain countries will be sent on request. They will be extended only to researchers and clinicians actively participating as investigators in the field of HIV transmission, with preference accorded to doctoral and professional degree level researchers and clinicians. The letters do not represent a commitment on the part of the organization to provide any financial assistance. Delegates who wish to apply for an invitation letter should indicate so in the Remarks-section of the registration form. All letters of invitation will be sent by fax unless otherwise requested. Letters of invitation will only be provided to persons who have already registered and paid.
Liability and Insurance
By registering for the conference participants agree that the organizers do not accept responsibility for medical-, travel- or personal insurance. Participants are advised to take out their own insurance policies.

Payment
Registration fee can only be paid by way of credit card authorization. Registrations are valid and will be confirmed after receipt of full prepayment.
Photographs, Audio and Video recording
Photographing nor audio- and/or video recording is permitted at the official meeting sessions. Only the medical writer appointed by the organization may make recordings.
Posters
Poster size is 90 x 120 cm (3 x 4 ft), portrait format
Poster presenters are kindly requested to hang up their posters before the start of the plenary session on December 8th and to remove them after final closure of the plenary session on December 9th.
Poster presenters are requested to stand near their poster during the poster sessions. It is advised to have handouts on letter or A-4 format available.

Technical information for presenters
Please note that you need to bring your presentation on CD (no ZIP disk !) or USB stick and to hand it in to our technical person as early as possible, but at least 1 hour before the start of the session.
