Accommodation
For those who attend IAS we suggest to extend the hotel reservation via the IAS website.

Badges
All participants are kindly requested to wear the badge at all times during the conference.

Certificate of attendance
A certificate of attendance can be picked up at the registration desk in the afternoon of 18 July.

In July the average high temperature is 18ºC (65F)

CME
This conference is not CME accredited

Conference Material
All conference material can be obtained upon registration at the registration desk.

Conference Language
The official conference language is English. There will be no simultaneous translation.

If you travel to South Africa with a device that does not accept 127 Volts at 60 Hertz, you will need a voltage converter. The plug is technically known as BS 546 (The old British plug)

Invitation letters
Official letters of invitation, designed to help overcome administrative difficulties in certain countries will be sent on request. They will be extended only to researchers and clinicians actively participating as investigators in the field of HIV Transmission, with preference accorded to doctoral and professional degree level researchers and clinicians. The letters do not represent a commitment on the part of the organization to provide any financial assistance. Delegates who wish to apply for an invitation letter should indicate so in the Remarks-section of the registration form. Letters of invitation will only be sent after payment has been received and confirmed by the credit card company.

Liability and Insurance
By registering for the conference participants agree that the organizers do not accept responsibility for medical-, travel- or personal insurance. Participants are advised to take out their own insurance policies.

Payment of on-line registration     
The registration fee of individual participants can be paid only via credit card. Your registration will be processed after receipt of payment. Payment can be processed either on line or by fax authorization. The registration fee is valid on the day of receipt of credit card details. If your payment or credit card information has not been received within 2 weeks of the on line registration your registration will be cancelled without further notice.

Photographs, Audio and Video recording
Photographing nor audio- and/or video recording is permitted at the official meeting sessions. Only the medical writer appointed by the organization may make recordings.

Posters
Poster size is 90 x 120 cm (3 x 4 ft), portrait format
Poster presenters are kindly requested to hang up their posters before the start of the plenary session on day 1 and to remove them after final closure of the plenary session.
Poster presenters are requested to stand near their poster during the poster session.
It is advised to have handouts on letter or A-4 format available.

Registration fee, criteria and cancellation conditions
Registration for the conference will be possible from 13 April 2009 until 2 July 2009. Individuals hoping to register after this date will only be able to do so on site. For further information, fees and on-line registration please go to the registration page of this workshop.

Scholarship
Students from low/middle income countries who apply for an scholarship (submission of an abstract is obligatory!!!) need to submit their abstract before 15 May. Notification of abstract acceptance and scholarship assignation will follow in the week after 15 May. After 15 May no scholarship applications will be accepted.

Social Events
Participation is only possible after registration and appropriate payment has been received. On site registration for the social events is not possible.

Technical information for presenters
Please note that you need to bring your presentation on CD (no ZIP disk !) or USB stick and to hand it in to our technical person as early as possible, but at least 1 hour before the start of the session.
