TEAM LEADER (1 FTE)

With a growing number of projects and colleagues, we are looking for a Team Leader Medical Education to strengthen our organization. As a Team Leader you will be playing a pivotal role in our organization. You will manage the project teams to ensure efficient and effective project management and you will be responsible for the planning, quality control and outcomes of our programs.

Your responsibilities:

  • You take final responsibility for our programs
  • You supervise the project teams to achieve volume, budget and outcomes targets
  • Implementing innovations to optimize efficiency, efficacy and project results
  • Ensuring a correct and efficient implementation of procedures in the work process
  • Measuring performance of the project teams
  • Hiring expert staff
  • Monitoring outcomes & feeding back for future development
  • Control of budget estimates, reconciliations and results
  • Guaranteeing compliance with internal and external regulations

  • Responsible for the efficient use of the available resources so that teams realize the delivered production and results, in accordance with the annual plan.

  • You promote and optimize quality standardization and measurement and you are constantly anticipating internal and external developments.
  • Based on your responsibility, you advise management and you are jointly responsible for the organization-wide policy, the dissemination thereof and creating support for it.
  • You provide management with input and advice aimed at making (strategic) decisions and optimizing the structure and resources for the organization to achieve goals and ambitions.
  • You collaborate with management to develop future business strategy

Your experience and skills:

  • You have extensive management experience in an international setting
  • You have several years’ experience in conference management
  • You have an academic working and thinking level appropriate to the task, supplemented with acquired business insights;
  • You are able to realize effective and efficient business operations.
  • You know how to create support and know how to deal with diverging views, how to resolve conflict situations adequately and tactfully and, if necessary, to take decisive action.
  • You have a proven ability to translate strategy into content and implementation.
  • You have strong analytical and numerical capabilities
  • You have excellent communication, networking and relationship building skills
  • You seamlessly switch between adopting a helicopter view and critical details
  • Excellent command of English (both verbal and in writing)

PROJECT MANAGER (0.8-1 FTE)

With a growing number of projects, we are looking for someone to join our team as a Project Manager. In this position, you will be responsible for the strategic management of a number of international conferences and/or educational programs, supported by the scientific, design and communications teams.

Your main tasks & responsibilities will be:

  • Sole responsibility for a portfolio of conferences/educational projects worldwide
  • Initiate, manage, participate and lead projects on a tactical and strategic level
  • End to end management of a project lifecycle including
  • fundraising, budget management and reconciliation
  • promotion and participant acquisition
  • Organizing endorsements and accreditation from all relevant parties
  • Development, accuracy and quality of all print/web/media/social media materials
  • Scientific program management with the help of the Committees and the Scientific team
  • Faculty management
  • Project logistics
  • Onsite project management
  • Evaluation & Aftersales
  • Ensure that projects meet volume and budget targets
  • Ensure that all aspects of project management meet compliance requirements and quality standards
  • Ensure that procedures are implemented in the work process
  • Continuously search and implement innovations to optimize efficiency, efficacy and project results
  • Contribute to the overall performance of the organization

 Knowledge, skills and experience

  • More than 3 years’ experience in conference management, preferably in medical education
  • Master’s degree, academic thinking and working level
  • Business acumen and commercially aware
  • Near native command of English (both verbal and in writing)
  • Excellent communicator and strong in stakeholder management
  • Flexibility: being able to switch between helicopter view and critical details
  • Excellent organizational skills
  • Quantitative skills, capable of working with financial data
  • Excellent IT skills including WordPress and Adobe Indesign

CONFERENCE ASSISTANT (0.8-1 FTE)

With a growing number of projects, we are looking for an enthusiastic and reliable Conference Assistant to help with the organisation of our national and international meetings.

In this position, you will be working closely with project teams helping to ensure that all requirements, deadlines, and schedules are on track during all stages of the event, from development, promotion, running until closing of.

Your main tasks & responsibilities will be:

  • Delegate management, incl. handling registrations, invoicing and general correspondence
  • Travel and accommodation arrangements for faculty, staff and grantees
  • Venue, F&B and AV arrangements
  • Administrative support
  • Data entry and database management
  • Website maintenance
  • Production of conference materials and communications
  • Support with fundraising activities, publicity and evaluation

Knowledge, skills and experience

  • HBO or equivalent
  • Hospitality or event management experience is a plus
  • Excellent organizational skills with the ability to multi-task, prioritize and work under pressure
  • Task oriented whilst paying great attention to detail
  • Superior customer service and communication skills
  • Excellent command of English (both verbal and in writing)
  • Solid IT skills including Microsoft Office; WordPress and Adobe Indesign are a plus
  • Willingness to perform various common tasks
  • Professional appearance and outstanding work ethic
  • Great attitude with a high level of personal accountability, self-motivation and a good sense of humor
