MEDICAL MANAGER (FULL-TIME)

With a growing number of projects and colleagues, we are looking for a Medical Manager to join the scientific team at Virology Education. The Medical Manager is responsible for optimizing learning outcomes by developing state-of-the-art scientific and medical programs.

Your main tasks and responsibilities will be:

  • Developing and executing needs assessments
  • Content development, compiling conference and course programs and commissioning faculty
  • Medical writing including program descriptions, meeting & learning objectives, and meeting reports, and summaries.
  • Editorial management of program content for promotional purposes
  • Development of educational materials
  • Screen & search for scientific content and educational needs to identify new opportunities
  • Establish and maintain good working relations with all stakeholders and ensure that everyone is kept fully informed throughout our projects
  • Actively explore how to improve processes and programs to generate increased attendance
  • Collaborate with the Scientific Director on optimal execution of all content-related aspects
  • Identify and implement improvements for internal processes
  • Guarantee independent and objective program content
  • Fully manage, understand, and adhere to accreditation policies and guidelines, and ensure knowledge is applied to projects during the planning, execution, and communication phases

Knowledge, skills, and experience:

  • Medical Doctor (MD) or Scientific Doctor (PhD), preferably in Infectious Diseases or related areas
  • Several years of experience in medical education is a huge plus
  • Excellent written and verbal communication skills
  • Excellent command of English
  • Excellent IT skills
  • Ability to prioritize tasks and activities to deliver within agreed deadlines

Personality:

  • Must be a true people manager
  • Pro-active attitude (no 9 to 5 mentality) with a hands-on approach
  • High level of personal accountability
  • A positive, friendly personality with a good sense of humor
  • Must be a Dutch resident

PROJECT COORDINATOR (FULL- OR PART-TIME)

Virology Education is looking for a Project Coordinator to join our team. You and your team members will manage our portfolio of international medical education programs in various formats including face-to-face, hybrid, virtual, and online education initiatives. You will work on a variety of projects by coordinating internally with the scientific and communication departments and externally with our participants and stakeholders.

Your main tasks and responsibilities will be:

  • Participant management including handling registrations, invoicing, and general correspondence
  • Faculty management including contract management, logistical arrangements, and professional correspondence.
  • Travel and accommodation arrangements for faculty, staff, and scholarship recipients
  • Website and program management using various programs such as WordPress/Drupal, EventsAIR, and HubSpot.
  • Support with data analysis for interim and final project reporting
  • Design and development of conference and promotional materials including (digital) flyers, social media, and invitations using Adobe programs.
  • Support with fundraising activities
  • Administrative tasks for day-to-day project management
  • Onsite project management and preparation including venue negotiations, F&B management, and AV arrangements
  • Online project management including customer support for livestreams, troubleshooting, and building and managing interactive sites

Knowledge, skills, and experience:

  • Master’s degree or equivalent work experience
  • Academic thinking and working level
  • Excellent organizational skills
  • Experience in conference management is preferred, in medical education is a plus
  • Business acumen and commercially aware
  • Near-native or native command of English (both verbal and in writing)
  • Excellent command of French or Portuguese (both verbal and in writing) is a plus
  • Excellent communicator and strong in stakeholder management
  • Flexible; being able to switch between helicopter view and critical details
  • Quantitative skills, capable of working with financial data
  • Solid IT skills including Microsoft Office, WordPress or other CMS, and Adobe InDesign are a huge plus

IT SUPPORT (FULL-TIME)

Virology Education is looking for an enthusiastic new colleague for IT support and general program technical assistance to manage our portfolio of international medical education programs, including face-to-face, hybrid, virtual, and online educational initiatives

Your main tasks and responsibilities will be:

  • Technical support with Microsoft Office Suite, Adobe programs, and website backends such as WordPress and Drupal. You will be co-responsible for the maintenance and performance of these essential programs on a day-to-day basis
  • Assistance and management of programs such as EventsAIR and HubSpot
  • Managing audiovisuals for live and online educational activities. 
  • Assistance to colleagues with materials in the preparation and execution of our educational activities using the above-mentioned programs.

Knowledge, skills, and experience:

  • Demonstrated knowledge of:
      • Microsoft Office Suite (In particular: Excel, PowerPoint, Outlook)
      • How to troubleshoot Windows 10
      • Adobe programs (in particular: InDesign, Premiere Pro, Captivate)
  • General administration skills (working with remote desktop programs like Central)
  • Experience on website backends (WordPress/Drupal)
  • Experience (or ability to learn) to help with programs such as EventsAIR and HubSpot.
  • Experience with professional video editing is a huge plus
  • General willingness to learn new skills

VIDEO EDITOR (FULL-TIME)

Virology Education is looking for a full-time video editor to help us bring a professional look and feel to our portfolio of international medical education programs, including face-to-face, hybrid, virtual, and online educational initiatives

Your main tasks and responsibilities will be:

  • Professional development and production of our video content which includes online educational videos, conference recordings, and promotional videos. You will work with the communications and scientific departments to bring a clear vision to our educational program materials. This includes:
    • Developing and cutting video footage from meetings into educational segments
    • Editing interviews and presentations for online education and virtual conferences
    • Using existing material alongside new footage to create promotional videos and content
    • Developing a creative but professional vision to keep our learners engaged with our educational video materials
    • Assisting where needed to keep these materials organized, and working with other team members to work materials into our website, social media, online learning platforms, and more
  • Assistance with photo editing in association with video promotion and editing using Adobe programs.
  • Working alongside the Communications Department to conceptualize and create original and scholastic promotional materials.

Knowledge, skills, and experience:

  • Demonstrated ability to develop high-quality and professional video content for educational purposes.
  • Ability to tell a story and create an engaging experience for our learners and viewers
  • Highly efficient and able to work under time constraints, with exceptional multi-tasking skills.
