IMPORTANT

  • We strongly advise that you register early to ensure your registration, as registration will close when the capacity of the venue is reached.
  • Submission of your online registration does not guarantee that your registration has been accepted. Your registration is final when full prepayment has been received and a confirmation of your registration has been sent.
  • If you plan to submit an abstract, please do not register until you have received a notification of the status of your abstract, as you might be eligible for a discount. If your abstract is rejected, you will be eligible to register at the early fee.

Young People

If you are 25 years of age or younger you are eligible for free registration. If you are 30 years of age or younger, you are eligible for a 50% discount on the current applicable registration fee.

If either of these applies to you, please send the following to the conference secretariat (rikke.rode@vironet.com)

  • Motivation letter explaining why you should receive this waiver/discount.
  • Copy/scan of a personal ID (ID card, passport, etc).

Young Investigators/Resource-Limited Settings Academia

We are pleased to offer free registration to young investigators and academia from low-income and lower-middle-income countries with an accepted abstract and a 50% discount on the registration fee without an accepted abstract. 

IMPORTANT: Free registration is offered to the presenting author only.

To be eligible as a young investigator, one should be 35 years of age or younger and either be a current Master/Ph.D. student or have obtained an MD/PharmD/Ph.D. degree in the last five years.

An application form needs to be completed by a supervisor and received by the Virology Education secretariat at least two weeks prior to the start of the workshop. Virology Education will contact the young investigator with instructions regarding the registration procedure.

Sponsored Attendance

If you are invited by a pharmaceutical or diagnostic company or if your registration is organized by a travel agency, please do not register online. The sponsoring company will be asked to register you via the conference secretariat.

Registration Fee Includes

  • Access to all scientific sessions, including poster area;
  • Delegate bag, including program/abstract book;
  • Refreshments during the coffee breaks; and
  • Lunch on all workshop days.

€25.00 will be charged for replacing a lost badge and for re-printing due to incorrect submission of names and/or company names or addresses.

IMPORTANT:

  • No day rate is available
  • Payment can only be made by credit card.
  • Virology Education reserves the right to cancel improper registrations. Claims for a refund will not be honored.

Accommodation 

Registration fees do not include accommodation.

Cancellation Policy

In case of cancellation, the following refunds are applicable:

  • Before 1 September 2019: 50% refund (minus an administration fee of €40)
  • Cancellation on/after 1 September 2019: No refund possible

If you are unable to attend the conference, a substitute delegate is always welcome at no extra charge, provided that a letter of authorization from the original participant has been received and the conference secretariat has been notified of the name of the substitute delegate before 16 September 2019. A statement (email/letter) of cancellation must be sent to Virology Education.

Liability and Insurance

By registering for the conference, participants agree that the organizers do not accept responsibility for medical, travel, or personal insurance. Participants are advised to take out their own insurance policies.

Media Registration

In order to register as a media participant for the workshop, the conference secretariat needs to receive proof of accreditation. A reduced registration fee may apply for accredited media participants. Please contact the conference secretariat for registration conditions. A program/abstract book will be provided on-site. The deadline for the application is 16 September 2020.

Accreditation may take the form of a photocopy of official press credentials or a letter verifying assignment to the workshop on the stationary of the media organization concerned. Freelance journalists should submit copies of three bylined articles on pediatric HIV in addition to an official letter of assignment. Newsletter writers and editors must submit three issues of their newsletter containing at least one bylined article by the applicant. All credentials will be verified by the Organizing Committee of the workshop.

Media participants may not register online but are requested to send the above-mentioned information to karin@vironet.com.

Important: Media is restricted to the written press. Recording on film or photo is not allowed. Virology Education will request a copy of the written piece once it is finalized. Media representatives must also agree to abide by the 2020 embargo policy.
