Young Investigators / Academia and IAS Members from Resource Limited Settings (RLS)

We are pleased to offer free registration to young investigators and academia from low-income and lower-middle-income countries with an accepted abstract and a 50% discount on the registration fee without an accepted abstract. 

IMPORTANT: Free registration is offered to the presenting author only.

To be eligible as a young investigator, one should be 35 years of age or younger and either be a current Master/PhD student or have obtained a MD/PharmD/PhD degree in the last five years. An application form needs to be completed by a supervisor and received by the Virology Education secretariat at least two weeks prior to the start of the workshop. Virology Education will contact the young investigator with instructions regarding the registration procedure.

Sponsored Attendance

If you are invited by a pharmaceutical or diagnostic company or if your registration is organized by a travel agency, please do not register online or by fax. The sponsoring company will be asked to register you via the conference secretariat.

Registration Fee Includes

€25.00 will be charged for replacing a lost badge and for re-printing due to incorrect submission of names and/or company names or addresses.

  • Virology Education reserves the right to cancel improper registrations. Claims for a refund will not be honored.

Workshop Dinner

The workshop dinner location will be disclosed soon.  It will take place on Thursday, 1 October at 7:00 PM. 

The dinner can be booked for $75. Pre-registration is required.  


Accommodation at the New Yorker Hotel can be booked through a dedicated link for the nights of 1 and 2 October. The rates do not include breakfast or taxes. These accommodations are NOT included in the registration price.

Cancellation Policy

In case of cancellation, the following refunds are applicable:

  • Before 1 August 2019: 50% refund (minus an administration fee of $40)
  • Cancellation on/after 1 August 2019: Unfortunately, no refund will be given

If you are unable to attend the conference, a substitute delegate is always welcome at no extra charge, provided that a letter of authorization from the original participant has been received and the conference secretariat has been notified of the name of the substitute delegate before 3 October 2019. A statement (email/letter/fax) of cancellation must be sent to Virology Education.

Liability and Insurance

By registering for the conference, participants agree that the organizers do not accept responsibility for medical, travel, or personal insurance. Participants are advised to take out their own insurance policies.

Media Registration

In order to register as a media participant for the workshop, the conference secretariat needs to receive proof of accreditation. A reduced registration fee may apply for accredited media participants. Please contact the conference secretariat for registration conditions. A program/abstract book will be provided on site. The deadline for application is 3 October 2019.

Accreditation may take the form of a photocopy of official press credentials or a letter verifying assignment to the workshop on the stationary of the media organization concerned. Freelance journalists should submit copies of three bylined articles on pediatric HIV in addition to an official letter of assignment. Newsletter writers and editors must submit three issues of their newsletter containing at least one bylined article by the applicant. All credentials will be verified by the Organizing Committee of the workshop.

Important: Media is restricted to the written press. Recording on film or photo is not allowed. Virology Education will request a copy of the written piece once it is finalized. Media representatives must also agree to abide by the 2019 embargo policy.
